General Policies


You may schedule telehealth sessions with providers who provide those services. Once you have scheduled an online session through the patient portal as you would with regular sessions, you may access your provider's telehealth room via the online session button on your provider's profile page.

Be aware that not all insurance plans reimburse for telehealth sessions, so please check with your particular insurance plan before your appointment or you will be responsible for the full cash fee.

Making Appointments

You may schedule online immediately with the King Health counselor of your choice by scheduling online through the New Client Schedule Now button found on their profile page. If there is no such button then that clinician is currently full. You can choose a different counselor or email us to be put on their waiting list. WE DO NOT ACCEPT SAME DAY NEW APPOINTMENTS. This is because we have paperwork you must fill out before your first sessions as well as enough time for you to call your Insurance company and obtain your insurance benefits before your first appointment.

King Health Associates provides ease of scheduling through an online calendar that allows you to control your schedule. This means you can see the openings in each clinician's schedule for the next few months and simply put yourself in at a time that works for you. You can also reschedule and cancel appointments online, without having to play phone tag or miss available appointments while awaiting a response. Our policy is that once you become a client of King Health Associates, you will be in charge of managing all of your appointments on our online calendar system, so we may focus on your clinical needs.

(Please note that our Bellwether Location entrance is facing the water, in between Anthony's and Giuseppe's. You cannot access our offices from the front of the building and must walk around back.)

Forms & Policies

All of the King Health Associates Practice Policies, Privacy Statement, Consent to Treatment, and Financial Policies will be sent to you once you schedule into the calendar. All of our policies are included in this initial paperwork which you will simply sign electronically. Within these policies are the list of questions to ask your insurance company. You will be expected to print out and bring the Insurance information with you to your first session.


Cash, check and major credit cards (except American Express and Discover) are accepted for payment. You may also use your Health Savings card. We do not accept payments from 3rd parties for sessions, due to confidentiality. If your parent, friend, or family member is paying for your session, you will need to have them reimburse you while you pay us directly.

TIPS: We are not allowed to accept tips or gifts in return for any of our services. If you wish you can donate to a charity of your choice in our name. 

Cancelation Policy

If you do not show up for your scheduled therapy appointment, and you have not notified us at least 24 hours in advance, you will be required to pay the full cost of the session. The exception to this is if there is an emergency or illness. (A work schedule or childcare change does not constitute an emergency.) If you no show, insurance will not be billed for your session, and you will be responsible for the full fee.


Note that not all providers accept insurance as payment, and others may accept only certain insurance company plans. Check your provider's profile page, in the right-hand column, to see which specific insurance plans they are contracted with. Even if they are not covered by your insurance you can still private-pay (we accept cash, check, credit, and debit payments at time of service) to see that provider.

Some providers are not contracted as in-network, but may still be covered by out-of-network (OON) benefits. Did you know that sometimes out of network benefits can be even better than in-network? Services may be covered in full or in part by your health insurance or employee benefit plan. Be sure to contact your insurance company and find out the details of what is covered. What Can/Can't I Bring To My Session?

We DO NOT allow weapons of any type, concealed or otherwise, including knives, guns, sprays, etc. Anything sharp, toxic, or anything that can fire projectiles should be left at home or in your vehicle.

We DO NOT allow cycles, or motorized (electric or otherwise) vehicle in the office. There are bicycle bars near to the front door for chaining up your bike if that is your mode of transport. The exception is of course wheelchairs.

We DO allow fully-trained service animals that perform needed physical assistance and for which it has been specifically and extensively trained.

We DO NOT allow emotional support animals, or pets, regardless of any doctor's note (emotional support animals, comfort animals, and therapy dogs are not service animals under Title II and Title III of the ADA). While you love and feel comfortable with your animal, please remember that we have a great many clients who may be present in the office during your sessions for whom animals, whether on a leash or not, are very frightening. A service animal is trained to be calm, focused only on its owner, engaged only in the specific task it has been trained for, and will not try to bark at, or pull to engage with other people. 

We DO NOT allow food. We encourage you to make time before or after your session to eat healthy food, but please do not bring your food into the office. You may bring a beverage providing it has a lid.

We DO NOT allow intoxicated people onto our premises. If you are visibly under the influence then you will be asked to leave and your appointment will be charged as a cancelation as a result.

We DO NOT allow client recording of any kind without written permission (with exceptions under Video below). Please respect others rights to privacy.

Video & Security

Our premises are monitored 24/7 by security cameras for your and our clinician's protection. These cameras cover the hallways and waiting areas. Footage is not available for use beyond law enforcement requirements or internal security review.

In-office counseling sessions may be recorded at client and clinician requests for clinical or supervision review purposes. If you have signed our policies then you have already agreed to electronic session transmission or recording, which covers remote video telemedicine sessions also. Due to the nature of the work, Acupuncture and Massage sessions are never recorded, whereas Hypnotherapy is. Copies of counseling session recordings may be available for client use, subject to admin fees. Recorded sessions may be retained for up to seven days.
